Description:* Alliant has an outstanding opportunity for a legal administrative assistant to be a part of a fast-paced dynamic legal department. This individual will work cohesively with lawyers to provide them with general administrative support. The work flow will fluctuate day to day and the degree of importance of each task or project will vary from the necessary menial to the highest level of urgency and discretion. It will be the responsibility of this individual to recognize the needs of the department and take the initiative to ensure the work is being processed in an efficient and productive manner.* This challenging position requires a proactive individual with the ability to multi-task and meet deadlines.* The ideal candidate will be a stellar, proficient legal assistant with advanced skills who is extremely organized and possesses a team player attitude.
Job Responsibilities:

  • Provide general administrative support to senior management and attorneys in Alliant’s legal department, including, but not limited to, drafting of documents and correspondences; preparing, maintaining and updating document files and indexes; reviewing and compiling closing documents; preparing corporate filings; preparing closing binders; e-mailing; filing; assimilating; faxing, photocopying; and scanning.
  • Complete projects and tasks with proficiency and attention to detail.
  • Manage personal work flow by prioritizing and communicating the status of projects with the attorneys and senior management.
  • Provide quick and proficient turnaround of requests and assignments to meet deadline dates.
  • Take the initiative to regularly assess the needs of the legal department and submit suggestions to improve workflow and maximize efficiencies.
  • Conform with and abide by all regulations, policies, work procedures, and instructions.
  • Follow all safety rules and use all appropriate safety equipment.
  • Perform other job duties as assigned or requested.

General Requirements:

  • Prior legal administrative assistant experience supporting corporate/transactional attorneys.
  • Knowledge of administrative level office procedures and etiquette.
  • Professional demeanor with a team player attitude.
  • Demonstrate diplomacy and discretion in all matters.
  • Excellent skills in both verbal and written communication; communicates in writing and orally using correct grammar and spelling.
  • Ability to multi-task and prioritize.
  • Outstanding organizational skills, attention to detail and ability to proofread documents.
  • Self-motivated and resourceful.
  • Position requires the candidate to use good independent judgment and work well with all personality types.
  • Candidate must have familiarity with general principles of real estate (multi-family preferred) and have transactional real estate experience.

Education/Training/Certification:

  • 2 or 4 year College degree and/or Certified Legal Assistant or certificate is preferred.
  • Minimum 3-5 years of legal administrative assistant experience preferred.
  • Some business/office college course work (i.e., Business English, English 101, Business English Terminology; Office Applications/Technologies, Etc.) or commensurate work experience/training.

Computer Skills:

  • Prior experience with document management software, such as iManage, and document comparison tools, such as DeltaView, is preferred.
  • Advanced skill level in Microsoft Word/Excel/PowerPoint/Outlook and Adobe Acrobat.
